Information we collect

When you browse the website, we process technical information such as your IP address, browser and device details, request times, pages requested and diagnostic or security records. These records can be personal information.

When you contact us, we receive your name, email address, optional company name, enquiry topic, message and related correspondence. The contact system also records request metadata, including IP address and user agent.

For business-account administration, we process account identifiers, names, email addresses, organization memberships, access roles and sign-in records. Business correspondence may include account, invoicing and transaction-reference information. Payment services reached through the business portal have their own processing practices.

We receive information from you and your browser, from your organization or its authorized administrators, and from business introductions, event organizers or publicly available professional sources when relevant to a business discussion.

What you need to provide

You can read the public website without sending an enquiry or creating an account. Sending an enquiry is voluntary, not a legal requirement. The form requires your name, a usable email address, enquiry topic, message and confirmation that we may respond. Company name is optional. Without required fields, the form cannot be submitted; without a usable reply address, we cannot respond by email.

Account identifiers and sign-in information are necessary for authorized business-account access. Without them, we cannot provide that access. Contract-specific information requirements are explained in the relevant business relationship.

Please do not send identity documents, biometric information, passwords or API credentials through the public enquiry form. Privacy requests can be emailed directly to privacy@nexionlabs.com without completing the sales form.

Purposes and legal bases

We use information to deliver and protect the website, respond to enquiries, arrange demonstrations, manage business relationships and administer authorized account access.

Where EU or UK data protection law applies, our legitimate interests are communicating with prospective and existing business customers, administering business relationships and maintaining a secure service. We consider those interests alongside the rights and interests of the people concerned. Where you personally are party to a contract, we may instead process information necessary to perform that contract or take steps you request before entering it. We also process information where a specific legal obligation requires it. Consent applies to optional processing where required.

Submitting an enquiry does not subscribe you to a marketing mailing list. We use the enquiry to respond and continue the relevant business discussion. You can ask us to stop business outreach at any time.

Automated security checks help detect spam and abusive requests and may reject a submission. You can contact privacy@nexionlabs.com about a privacy request even if a website form is unavailable. These website checks are separate from identity or age decisions in customer verification services.

Who receives information

Information is available to people within NexionLabs who need it for these purposes and to providers that help us operate the business. Our website infrastructure and email delivery use Amazon Web Services. We use Google Workspace for business email and collaboration, and Sentry for configured diagnostic and error reporting.

When the contact security check is enabled, Cloudflare Turnstile processes network and browser signals to detect bots, including IP address, TLS fingerprint, user agent and site origin. Our server sends the verification token to Cloudflare; it does not send your enquiry content or an additional copy of your IP address. We do not retain the token with your enquiry. Cloudflare also describes its use of signals to improve bot detection in its Turnstile Privacy Addendum: https://www.cloudflare.com/turnstile-privacy-policy/.

Business productivity and research work may involve OpenAI ChatGPT or Codex when information is supplied in that work. Website enquiries are not automatically forwarded to OpenAI by the contact form. Information supplied to a third-party tool is subject to the arrangements and settings for that service.

Professional advisers, payment providers and business counterparties may receive information relevant to the particular engagement. We may also disclose information where required by law, to establish or defend legal claims, or in connection with a corporate transaction subject to applicable protections. This is not permission for unrelated use of personal information.

International processing

Information may be stored or accessed in the United States and the European Economic Area, including through our team and service providers. Provider locations and onward processing can vary by service.

Transfer safeguards depend on the recipient, destination and applicable law. For example, Amazon Web Services incorporates the European Commission's standard contractual clauses into its service terms for covered transfers. Other providers describe their transfer arrangements in their applicable privacy and data-processing terms. You can request information about the transfers and safeguards relevant to your information, including how to obtain copies of applicable safeguards, at privacy@nexionlabs.com.

How long information is kept

Retention depends on the purpose of the record: whether an enquiry or business relationship is ongoing, whether information is still needed for account administration or security, and whether a specific legal obligation or claim requires it. These criteria apply to enquiry records, correspondence, diagnostic records and exports; information is not kept for an unrelated future use merely because it was collected.

The continuing business discussion determines the need for enquiry information. Abuse-prevention and investigation needs determine the retention of security metadata separately. Contract and accounting records follow the relevant relationship and legal requirements, rather than the life of the original enquiry.

Deletion from an application does not necessarily remove copies from correspondence, diagnostic systems or backups at the same time. Requests are assessed across the relevant stores, including any legal hold or backup limitations. Contact privacy@nexionlabs.com for information about a particular record or to request deletion. This website notice does not set retention periods for customer verification evidence.

Protecting information

We use access controls, authenticated business-account access and technical security measures to protect information. No website or transmission method can be guaranteed completely secure. This does not reduce our obligations under applicable data-protection law.

Your right to object

Where processing relies on legitimate interests, you may object at any time for reasons relating to your situation. We will stop that processing unless we demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.

You may object to direct marketing at any time, and we will stop using your information for that purpose. Email privacy@nexionlabs.com to make an objection.

Your other privacy rights

Depending on applicable law and the circumstances, you may request access, correction, deletion, restriction or portability of your information. Where processing relies on consent, you may withdraw consent without affecting earlier lawful processing. Rights have conditions and exceptions.

Send requests to privacy@nexionlabs.com. We may ask for proportionate information to verify the request and will respond within the applicable legal deadline. Do not send an identity document unless we have explained why it is necessary and provided an appropriate channel. Where information is processed on a customer's instructions, we will direct or assist the request as appropriate.

You may complain to a competent data-protection authority, including the authority in the country where you live, work or consider an infringement occurred where those rights apply. Contacting us first is not a condition of making a complaint.

Cookies and linked services

The cookie notice explains browser storage and preferences. The website does not use advertising cookies or an external marketing-analytics loader. Browser Do Not Track signals do not currently change the website's behaviour. You can use the privacy contact to exercise applicable rights; Do Not Track is distinct from legally recognized opt-out signals.

Links to external services lead to sites operated under their own notices. This notice concerns the corporate website and business-contact relationship, not the information handled when completing a customer's identity or age check or using the Lognium mobile application.

The business website is directed to business users, not children. Contact us if you believe a child has submitted information through this website. This statement does not define permitted ages for customer services or Lognium.

Changes to this notice

We update this notice when our practices change and show its revision date. We will provide additional notice or choices where required for a material change. Reading the notice does not itself give consent to new processing.
